Symmetria Pilates (“Symmetria,” “we,” “us,” or “our”) respects your privacy. This policy explains how personal information is collected, used, protected and shared when you visit this website, contact the studio or submit a new-client intake form. It is intended to support our responsibilities under British Columbia’s Personal Information Protection Act and other applicable privacy laws.
Who is responsible for your information
Beth Hynes, owner of Symmetria Pilates, is the studio’s Privacy Contact and is responsible for personal information under the studio’s control. To ask a privacy question, make a complaint, request access or request a correction, please contact Beth about privacy.
Information we collect
We collect only the information reasonably needed to respond to you and provide Pilates instruction and studio services. Depending on how you interact with us, this may include:
- Contact enquiries: your name, email address and message.
- New-client intake information: your name, contact details, date of birth, occupation, first-session date, emergency contact, health conditions, injuries or allergies you choose to share, Pilates goals and experience, dog-related sensitivities, referral information, agreement date and signature.
- Studio administration: scheduling, attendance, payment and communication records created while arranging or providing services.
- Technical information: the website uses a temporary, one-way value derived from an IP address to limit automated or repeated form submissions. The website host may also keep standard security and access logs.
Why we use personal information
We use personal information to respond to enquiries, recommend an appropriate starting point, arrange and provide classes or sessions, adapt instruction with safety and individual needs in mind, administer studio services, maintain appropriate business records, prevent spam and misuse, and meet legal or regulatory obligations.
Consent and your choices
When you voluntarily contact the studio or submit a form, you consent to the collection and use of the information for the purposes described at the point of collection and in this policy. You may withdraw consent with reasonable notice, subject to legal, safety, contractual or record-keeping requirements. Withdrawing consent may affect our ability to provide a requested service.
How information is handled and shared
Website contact and intake submissions are emailed directly to Beth and are not stored in the WordPress database. A drawn intake-form signature is held only long enough to attach it to the email and is then deleted from the website server. Submitted information may be processed by the website host, its security systems and the email providers used to deliver and store the message.
We do not sell or rent personal information. Information is shared only with service providers that help operate the website or studio, with your consent, when reasonably necessary to protect a person’s safety, or when required or permitted by law.
Retention
Personal information is kept only as long as reasonably necessary for the purposes described above and for applicable legal, insurance, accounting or professional obligations. When it is no longer required, we take reasonable steps to securely delete, destroy or anonymize it.
Safeguards
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information. No website, email service or internet transmission can be guaranteed to be completely secure, so please avoid sending information that is not needed for your enquiry or intake.
Cookies and third-party services
The website uses standard WordPress functionality and may use essential cookies or similar technology for security and administrative sessions. This theme does not add advertising cookies or analytics tracking. Website fonts are delivered by Google Fonts, which may receive technical request information such as your IP address and browser details. Links to Facebook or other external services take you to sites governed by their own privacy policies.
If analytics, embedded media, booking software, payment tools or additional plugins are added later, this policy should be updated to describe them.
Access, correction and complaints
You may ask whether we hold personal information about you and request access to or correction of that information, subject to applicable law. You may also ask how it has been used or disclosed or raise a concern about our privacy practices. Please contact Beth about privacy; we will review and respond to your request as required by applicable privacy law.
Changes to this policy
We may revise this policy when the website, studio practices or legal requirements change. The current version and its last-updated date will be posted on this page.
